Welcome to Sign-A-Doc! We're thrilled to serve you with notary services that are secure, streamlined, and centered on you. Before we get started, here’s everything you need to know about how your appointment works, whether you're online or in person.

BOOKING & RESCHEDULING

1.1.Booking an Appointment

When booking, you’re reserving a dedicated notary session tailored just for you. You’ll receive confirmation via email with all the details, and if it’s Remote Online (RON), we’ll also share a secure link with platform instructions.

When booking an appointment, please ensure that you:

  • Double-check the spelling and order of names on your documents.

  • Understand the services you are requesting.

  • Ensure that your documents are complete and unsigned.

1.2.Rescheduling Your Appointment
We get it, things come up. We offer a one-time rescheduling option if you give us
proper notice. You can reschedule your appointment, but different rules apply for
Remote Online Notarizations (RON) and in-person appointments:

  • RON Appointments: You must provide at least 24 hours' notice to reschedule without incurring a fee.

  • In-Person Appointments: You must provide at least 48 hours' notice to reschedule without incurring a fee.

  • Late Changes: Any changes made within the specified notice periods willincur a rescheduling fee.

TECHNOLOGY

In the event of technology failures during remote sessions, such as internet connectivity
issues or software malfunctions, you will need to reschedule the appointment. A
rescheduling fee may apply. The fees cover the costs of re-authentication, identity
verification, session reconfiguration, and the time reserved by your commissioned
Notary.
These are the most common reasons for remote disruptions:

  • Unstable internet connection

  • Signer arrives more than 10 minutes late

  • Device, internet, or browser issues that prevent participation

  • ID Verification failure (e.g. KBA Quiz or Credential Analysis)

  • Incomplete or incompatible documents (e.g., missing required fields

Rescheduling Fee: $30 per singer.
Document Update Fee: $50 per change.

NOTARY PROVIDED WITNESSES

If you require notary-provided witnesses, the fees for this service are non-refundable
under the following conditions:

  • If the signer reschedules their appointment without proper notice

  • If the signer fails to attend their scheduled appointment

  • If the witness is present but the appointment cannot proceed due to incomplete or incorrect documents.

  • If the witness is present but the identity verification process fails.

If your appointment needs to be rescheduled, a new notary provided witness fee will
be charged
for the new session, as availability must be rebooked.
We appreciate your understanding as we coordinate dedicated professionals on your
behalf. 

IDENTITY VERIFICATION

4.1.What is Identity Verification?

For RON appointments, we use a two-step identity verification process:

  1. Step 1: You will be required to answer a series of knowledge-based authentication questions.

  2. Step 2:You will need to provide a valid government-issued photo ID for verification.

4.2.Failure to Pass Verification

Verification might fail if:

  • Your ID is expired, unclear, or doesn’t match your name.

  • You don’t pass the quiz questions (known as KBA).

  • Your live selfie doesn’t match your ID photo.

  • You’re underage or lack qualifying documentation.

4.3.What Happens If You Can't Be Verified?

We’ll need to reschedule your session, and because your time slot was held and
verification was attempted, a $30 fee per signer will apply. If your documents
require updates due to verification issues (name mismatch, corrections), a $50
document update fee
may be added

4.4.What If It's Our Fault?

We take ownership seriously. If the issue is caused by:

  • Notary error.

  • Platform failure.

  • Our equipment or network.

       We’ll make it right — no fees, and we’ll reschedule your session promptly

YOUR APPOINTMENT

Be on time, have your documents ready, and make sure your internet (for RON) is
stable. We include a 10-minute grace period, but after that, the appointment will be
considered missed and is non-refundable.

5.1.For Remote Online Appointments:

  • Signers must pass ID verification.

  • No one can appear intoxicated, hostile, or inappropriate during the session.

  • Sessions may be recorded for compliance.

5.2.For In-Person Appointments:

  • Valid ID must be present.

  • Safe and respectful environment required.

  • Location should be conducive to a professional signing.

REFUNDS

Refunds are granted under the following conditions:

6.1.Partial Refunds

If you provide proper notice (at least 24 hours for RON appointments and 48 hours
for in-person appointments) and cancel your appointment, you may be eligible for a
partial refund. The refund amount will be less any financial platform processing fees,
fees for notary-provided witnesses, and platform fees.

6.2.Non-Refundable

Appointments canceled without proper notice are non-refundable.

LEGAL & REGULATORY REFERENCES

Sign-A-Doc adheres to all applicable laws and regulations governing Notary Public and
Remote Online Notarization (RON) services in the State of Florida. Our services comply
with the relevant Florida statutes and administrative codes governing notary services
and RON. For more information, please refer to the specific sections and clauses from
the statutes below:

7.1.Notary Public (Traditional & In-Person)

Chapter 117, Florida Statutes – Governs the appointment, duties, and limitations
of Florida Notaries Public, including:

  • §117.01: Appointment and commission requirements

  • §117.05: Use of seal, fees, and prohibited acts

  • §117.107: Prohibited acts and misconduct

  • Governor’s Reference Manual for Notaries Public – A comprehensive guide issued by the Executive Office of the Governor outlining best practices and statutory responsibilities.

7.2.Remote Online Notarization (RON)

  • Chapter 117, Part II, Florida Statutes (§117.201–§117.305) – Establishes the legal framework for Remote Online Notarization, including:

  • §117.201: Definitions and scope

  • §117.225: Standards for identity proofing and credential analysis

  • §117.245: Audio-video recording and retention requirements

  • §117.295: Registration and technology provider requirements

  • Chapter 1N-7001, Florida Administrative Code – Details the procedures and responsibilities for online notaries, including technology standards and vendor compliance.
